Payroll and HR Coordinator – Victoria, BC

Job Description:  Payroll & HR Coordinator

Reporting to the Vice President, Finance, the Payroll & HR Coordinator supports the payroll, benefits, and human resource functions at EncoreFX working with external service providers and team members to ensure employees are successfully onboarded and receive timely and accurate processing of their payroll, benefits and other entitlements. This position is first point of contact for employees for all time and attendance, payroll and benefits-related inquiries.

Key responsibilities:

Payroll / Benefits

  • Ensure new employees have completed and signed all forms required as part of onboarding
  • Work with local and international payroll providers to ensure timely, accurate payroll processing including commissions, expense reimbursements, benefits and payroll deductions for all employees
  • Ensure set up / amendments to employee benefits are done in a timely and accurate fashion
  • Act as a point of contact for the Company with external benefits providers
  • Ensure compliance with applicable federal/provincial/state/municipal laws, regulations, rules, standards, and guidelines as it applies to payroll and benefits administration

HR / Employee Relations

  • Maintain internal HR information system to record key employee information and entitlements
  • Ensure accurate tracking of employee leave (i.e. vacation, sick) in payroll systems
  • Assist in preparing employment contracts and amendment letters as required
  • Support the Company’s onboarding, orientation and performance management processes
  • Provide HR and payroll reporting and analysis to management
  • Be discreet and confidential in all Company and employee HR, payroll and benefit matters


  • Minimum 3 years of payroll/HR experience
  • PCP and/or CPM certification preferred
  • Self-motivated with superior organizational skills
  • Excellent communication skills, both written and verbal
  • Able to set priorities and multi-task
  • Strong reconciliation experience and attention to detail
  • Ability to work under pressure while maintaining perspective and professional demeanor
  • Highly skilled in Microsoft applications (Excel, Word, Outlook)
